FAQ

GENERAL/MIXED

DOES AMSC TAKE PLACE IN PERSON?

AMSC is a full-fledged in person (i.e. physical) congress. As long as COVID-19 not yet completely out of the picture, we are monitoring the situation closely and will let all participants know in a timely manner if any local restrictions (e.g. masks) apply.

WILL THERE BE ONLINE OR HYBRID ELEMENTS AT AMSC?

Our main goal for AMSC is to provide a fascinating and fun academic and social experience in person, i.e. physically. We are looking into hybrid options for the future, but we do not have anything to announce at the moment. Physical participation will remain our priority.

WHAT ARE THE REGISTRATION DEADLINES?

You can find all registration deadlines for both active ( = presenting) and passive ( = non-presenting) participants at amsc.be/register. Dates are still subject to change, come back to that page later for updates. Make sure to register in time!

HOW CAN I BECOME AN AMBASSADOR FOR THE AMSC?

As a student, you can apply to become an ambassador for AMSC. To do so, send an email to pr@amsc.be including your CV, a picture of yourself, and a letter of motivation.

I HAVE ALLERGIES AND/OR DIETARY RESTRICTIONS, CAN YOU HELP ME?

We are able to provide allergy free food upon request. In the weeks leading up to the congress, we will send all registered participants a form in which they can put in information about any allergies, intolerances and dietary restrictions they might have. At the lunch table, we will certainly provide vegetarian and halal options.

WILL YOU BE CAREFUL WITH MY PERSONAL INFORMATION?

The AMSC will use any personal data only to the extent necessary for the performance of its services. For our full privacy policy, visit amsc.be/privacy.

WILL I RECEIVE A CERTIFICATE OF ATTENDANCE?

We provide certificates for all present delegates. Certificates of active participation will only be handed out after actually presenting your research at the AMSC. If you do not meet this criteria, you may be handed a certificate of passive participation.

As a token of respect to the professors and other tutors that give sessions, we also require you to attend all academic activities that you register for in order for you to receive your certificate of participation.

ACTIVE PARTICIPATION

WHAT COMPETITIONS WILL BE HELD?

There are two main competitions: oral presentations and poster presentations. Authors of accepted abstracts can choose to present their study as an oral presentation or during the posterwalk session. The posterwalk sessions are divided in case reports and clinical fundamental studies. Please check our website for further information.

WHEN WILL I KNOW WHEN TO PRESENT?

Oral presentations and poster presentations will be held on each day of the congress.

The specific day and time of your presentation will be emailed to you in the days leading up to the start of the congress. If you want, you can send your day of preference to secretary@amsc.be, and we will try to keep it in mind.

WILL MY ABSTRACT BE PUBLISHED?

Yes, all accepted abstracts will be published in our abstract book. A digital copy will be provided to all participants of the AMSC. 
The abstract book will be made with all the information at hand. We are not able to edit anything after publication.

CAN I SEND IN MORE THAN ONE ABSTRACT?

Yes, you can send in as many pieces of research as you wish. The abstracts will be considered individually for approval by the jury. Please fill in a separate abstract submission form for each individual piece of research.

While we allow multiple submissions, we still limit the amount of pieces of research you can actually present depending on our capacity for that edition, even if multiple of your abstracts were accepted.

CAN TWO OR MORE CO-AUTHORS OF A PIECE OF RESEARCH PRESENT THEIR RESEARCH AT THE AMSC TOGETHER?

Yes, multiple co-authors are allowed to present their research together at the congress. Note that all presenters need to purchase congress tickets individually if their research is accepted. However, only one abstract submission form needs to be filled in per piece of research

FINANCIALS

WHAT ARE THE REFUND REGULATIONS FOR AMSC?

We do not provide any type of refunds, except in very specific circumstances, and only at the discretion of the AMSC Organising Committee. Refund requests have to be sent to treasurer@amsc.be before the start of the congress, and as soon as possible from the moment the student becomes aware that they cannot attend the congress.

We are not to be held accountable when your visa application is rejected, as we do our utmost best to provide you with all the necessary information and documents. 

WHERE CAN I GET AN INVOICE?

In order to get an invoice, please make sure to send an email to treasurer@amsc.be including the following information:
- Full name
- Parent institution
- Order details

TRAVEL REGULATIONS AND COVID-19

WILL I BE ALLOWED TO TRAVEL TO BELGIUM FROM MY COUNTRY OR REGION IN SEPTEMBER?

International, national and local authorities will likely have protocols in place that will differ from those in use now. Please check your own country's most up-to-date information on traveling to Belgium, as well as up-to-date resources from the government of Belgium (e.g. https://www.info-coronavirus.be/en/travels/ regarding COVID-19) regularly. It is your responsibility as a participant to be informed on travel regulations that apply to you.

CAN THE AMSC HELP WITH MY VISA APPLICATION?

Yes, we, the AMSC Organising Committee, will support your visa application process as much as we can. For details, visit our travel and stay page and scroll down to the visa section.
