GENERAL/MIXED

IS AMSC 2021 GOING TO TAKE PLACE ONLINE OR IN PERSON?

We are planning to make AMSC 2021 a full-fledged in person (i.e. physical) congress. Of course, we cannot know yet with absolute certainty what will be allowed by the time the congress commences. Nevertheless, considering the high speed of vaccination as well as the high willingness to get vaccinated in Belgium and especially in Flanders, we are optimistic regarding this matter.

WILL THERE BE ONLINE OR HYBRID ELEMENTS AT AMSC 2021?

Our main goal for AMSC 2021 is to provide a fun and fascinating academic and social experience in person, i.e. physically. There is a chance that we may decide to add some online or hybrid elements in the future if they fit well with our physical activities, but currently we do not have them on our roadmap for AMSC 2021.

WHAT ARE THE REGISTRATION DEADLINES?

Registrations are open now!

For active participants:

  • Preregistrations (i.e. abstract submissions) will close on Saturday 14 August 2021 (11:59 p.m. CEST).

  • Registrations (i.e. confirmations of attendance after acceptance of your abstract by our jury) will close on the day communicated to you via email by our secretaries.

For passive participants:

  • No preregistration required.

  • Registrations will close on Tuesday 31 August 2021 (11:59 p.m. CEST).

CAN THE AMSC HELP WITH MY VISA APPLICATION?

Yes, we as the AMSC will support your visa application process as much as we can. Every student attending the AMSC that has to apply for a visa will be sent an invitation letter. In order to receive such a letter, make sure you click the visa application box during registering.

If further documents are required in your embassy, make sure to contact secretary@amsc.be in time.

I HAVE ALLERGIES AND/OR DIETARY RESTRICTIONS, CAN YOU HELP ME?

We are able to provide allergy free food upon request. In the weeks leading up to the congress, we will send all registered participants a form in which they can put in information about any allergies, intolerances and dietary restrictions they might have. At the breakfast and lunch table, we will certainly provide vegetarian and hallal options.

WILL YOU BE CAREFUL WITH MY PERSONAL INFORMATION?

The AMSC will use any personal data only to the extent necessary for the performance of its services. For our full privacy policy, visit amsc.be/privacy.

HOW CAN I BECOME AN AMBASSADOR FOR THE AMSC?

You can apply for being an ambassador for the AMSC 2021 until 13 June 2021. Please make sure to send an email to pr@amsc.be including your CV and a letter of motivation.

If you want to become an ambassador for the AMSC when the deadline has passed, please make sure to send an email to pr@amsc.be

WILL I RECEIVE A CERTIFICATE OF ATTENDANCE?

We provide certificates for all delegates. Certificates of active participation will only be handed out after actually presenting your abstract at the AMSC. If you do not meet this criteria, you will be handed a certificate of passive participation.

 

ACTIVE PARTICIPATION

WHAT COMPETITIONS WILL BE HELD?

There are two main competitions: oral presentations and poster presentations. Authors of accepted abstracts can choose to present their study as an oral presentation or during the posterwalk session. The posterwalk sessions are divided in case reports and clinical fundamental studies. Please check our website for further information.

WHEN WILL I KNOW WHEN TO PRESENT?

All oral presentations and poster presentations will be held on 14 and 15 September 2021.
The specific day and time of your presentation will be emailed to you 24-48 hours prior to the start of the congress.

WILL MY ABSTRACT BE PUBLISHED?

Yes, all accepted abstracts will be published in our abstract book. This book will be handed to all participants of the AMSC. 
The abstract book will be made with all the information at hand. We are not able to edit anything after publication.

CAN I SEND IN MORE THAN ONE PIECE OF RESEARCH DURING PREREGISTRATION?

Yes, you can send in as many pieces of research (and abstracts) during preregistration as you wish. The abstracts will be considered individually for approval by the jury. Please fill in a separate preregistration form for each individual piece of research.

CAN TWO OR MORE CO-AUTHORS OF A PIECE OF RESEARCH PRESENT THEIR RESEARCH AT THE AMSC TOGETHER?

Yes, multiple co-authors are allowed to present their research together at the congress. Note that all presenters need to fill in the preregistration form individually and later also need to purchase congress tickets individually if their research is accepted. In the preregistration form, students can put in the names of any co-presenters.

 

FINANCIALS

WHAT ARE THE REFUND REGULATIONS FOR AMSC 2021?

We will provide full refunds up to and including July 31st 2021. Refunds will only be possible if the registered student in question can submit proof to the AMSC Organising Committee that at the time of the deregistration request it is more likely than not that that student will not be allowed to travel to Antwerp during the period of the congress or that the student would have to undergo a quarantine of seven days or more to participate in the AMSC. If the student could more likely than not easily and legally bypass such quarantine, for example by presenting a negative PCR test for COVID-19, they will not be eligible for a refund. Refund requests have to be send to treasurer@amsc.be.

We are not to be held accountable when your visa application is rejected, as we do our utmost best to provide you with all the necessary information and documents. 

WHERE CAN I GET AN INVOICE?

In order to get an invoice, please make sure to send an email to treasurer@amsc.be including the following information:
- Full name
- Parent institution
- Order details

 

COVID REGULATIONS AND SAFETY

WILL I BE ALLOWED TO TRAVEL TO ANTWERP/BELGIUM IN SEPTEMBER 2021?

Unfortunately, we don't know yet. International, national and local authorities will likely have protocols in place that will differ significantly from those in use now. Please check your own country's most up-to-date information on traveling to Belgium, as well as up-to-date resources from the government of Belgium (e.g. https://www.info-coronavirus.be/en/travels/) regularly.

WILL I BE ALLOWED TO PARTICIPATE IN ALL IN PERSON ACTIVITIES INCLUDED IN MY AMSC 2021 TICKET?

This depends on both international travel restrictions and national or local event restrictions. According to the current roadmap of Belgian government, there should be little to no COVID-related restrictions on participating in events like AMSC 2021 in September, but this roadmap is of course subject to change. Among other possible measures, there's a chance that COVID vaccination or a negative COVID test may be mandatory for all or certain in person participants. Please check back later on our website for new information regarding relevant COVID regulations.
